We're currently seeking a Commercial Lease Administrator for our multi-family portfolio of properties, with at least 3 years of industry experience. 

Candidate will work full-time in our corporate office located in Piscataway, NJ. 

Responsibilities

  • Responsible for administering a portfolio of leases and the accurate processing of lease obligations, including the abstraction of lease data into a database, and adhering to the compliance procedures of the company.
  • Prepare detailed Lease Summaries for new Leases and update for Amendments, Assignments, Renewals and Extensions.
  • Ensure data integrity of information contained in database application used for tracking all tenant and lease related data; includes critical dates, co-tenancy, exclusive clauses, restricted uses and construction operation and reciprocal easement agreements.
  • Work with Construction, Project Managers and Property Management Teams for Landlord Work, Tenant Fit-Outs and Delivery of Demised Premises; tracking critical dates (delivery/possession/rent commencement/lease expiration), approvals and receipt of required documentation; ensure Landlord Work is completed per Lease and without incurring penalties.
  • Track Renewals and Lease Expirations, update management and Leasing Agents of upcoming expirations, send notices; negotiate and prepare amendments when applicable.
  • Interpret and resolve complex lease issues.
  • Assist Accounting Team with tracking required tenant sales reporting and percentage rent payments.
  • Review Tenant Construction Allowance requests and ensure required documentation is received and in compliance with the leases; process for payment.
  • Track Property and Tenant Insurance requirements and keep current with Certificates of Insurance
  • Ensure accuracy of square footage of all tenants and centers, work with Architects and Leasing Agents on square footage for potential tenants, maintain and update square footage reports.
  • Prepare Estoppels and SNDA’s as required per leases and as needed for refinancing and acquisitions
  • Perform due diligence on potential acquisitions
  • Audit Property and Tenant files to ensure accuracy and receipt of all pertinent documents.

 

Qualifications

  • At least a 2 year college degree
  • At least 3-5 years Commercial Lease Administration experience
  • Commercial Real Estate landlord side experience and development experience a plus
  • Excellent interpersonal skills, organizational skills and ability to multitask
  • Strong analytical and time management skills
  • Must be proficient in Word and Excel
  • MRI commercial systems and Timberline-Sage knowledge a plus
